The bottleneck today
At tax firms, a large share of client communication repeats itself: “Where’s my assessment?”, “What documents do you still need?”, “By when do I need to submit this?” These questions matter to the client but are rarely complex, and yet they’re often answered by the same qualified staff member who should really be doing the actual tax work.
Tax season makes it worse: the phone rings by the minute, the line is permanently busy, and clients urgently trying to submit a document can’t get through for days. Every interruption of a qualified staff member for a standard question costs twice: time for the call and time to get back into focused work.
What the AI takes over (a concrete day)
A client calls to ask whether their receipts for the VAT advance return are complete. The AI phone assistant checks the status in the system and gives an answer, or names specifically which document is still missing, where that’s defined.
On the website, a prospect asks the chatbot a general question about the firm’s services and the process for an initial consultation. The AI answers from the firm’s knowledge base and offers an appointment for an initial call.
A deadline approaches: three clients are still missing receipts. Instead of a staff member chasing each one individually, the agent automatically sends a friendly reminder with the exact requirement and marks the case as done once the document arrives.
Connecting to your systems
The connection to DATEV and comparable practice software runs, depending on the available interface, via automation software or via defined export processes. Appointments land in the firm’s calendar, document requests in the respective client folder. Where direct write access isn’t wanted for compliance reasons, we work with an approval step: the AI prepares, a staff member confirms.
Cost & benefit
Setup 1,500–3,500 € per building block, operation 150–400 € per month depending on client and call volume. The benefit shows most clearly in season: every hour a staff member doesn’t spend on standard follow-up questions is an hour for the actual advisory work, the work clients actually pay for.
Honest limits
The AI gives no tax advice for individual cases and makes no professional assessments, that stays with you and your staff. For complex or emotionally charged cases (e.g. an audit, a dispute with the tax office), the AI consistently hands off to a human. And because confidentiality matters especially in this field, we strongly recommend self-hosting here rather than the standard cloud variant.
